01Who we are
This Privacy Policy explains how EasyKount Technologies Pvt. Ltd. ("EasyKount", "we", "us", or "our") collects, uses, stores and protects information when you use our products, websites and related services (the "Service").
It applies to every EasyKount product. Each product also has a short annex naming exactly what that product processes; read this policy together with the annex for the product you use.
02Our role differs by product
Most EasyKount products are supplied to an organisation — a school, a denomination, a credit society, a media operator. That organisation decides what information is entered and why. In those products the organisation is the controller, and EasyKount processes information on its instructions to provide the Service. If you are a parent, a member, a depositor or a viewer, your relationship is with that organisation, and requests about your records should normally go to them first.
A small number of products are installed directly by a person with no organisation in between. In those, EasyKount is the controller and this policy governs directly.
Each product annex states which of the two applies.
03Information we collect
Account and contact information may include your name, email address, phone number, username, role, organisation and authentication details. We use this to create accounts, sign you in, provide support and protect the Service.
Organisation records are the information an authorised user of the subscribing organisation enters into the Service. What these contain differs by product and is listed in that product’s annex. The organisation determines which information is collected and the purposes for which it is used.
Technical information may include browser and device details, IP address, approximate location derived from IP, sign-in events, error logs, features used and other diagnostic information needed for security, reliability and product improvement.
We do not sell personal information, and we do not use organisation records to build advertising profiles.
04How we use information
We use information to provide, maintain, secure and improve the Service; authenticate users; apply role-based and organisation-level access controls; process requests; generate reports requested by the organisation; communicate about the Service; troubleshoot; prevent fraud and misuse; and comply with applicable law.
We may use aggregated or de-identified information for analytics and service improvement where it cannot reasonably be used to identify an individual or organisation.
05How we share information
We share information only as needed to operate the Service, at the organisation’s direction, or as described in this Policy. This may include infrastructure, hosting, security, communications and support providers that process information on our behalf under confidentiality and security obligations.
We may disclose information where required by law, legal process or a valid government request; to protect the rights, safety and security of EasyKount, users, subscribing organisations or others; or in connection with a merger, acquisition, financing or sale of assets. We do not sell personal information.
06Retention and deletion
We retain information for as long as necessary to provide the Service, meet the purposes described in this Policy, resolve disputes, enforce agreements, maintain security and comply with legal obligations. Some products carry statutory retention periods set by the organisation’s own regulator; where that applies it is noted in the product annex.
When an account or organisation relationship ends, we follow the applicable agreement and the organisation’s instructions for returning or deleting its data, subject to lawful retention requirements and secure backup deletion cycles.
07Security
We use reasonable administrative, technical and organisational safeguards intended to protect information against unauthorised access, alteration, disclosure or destruction. No internet-based service can guarantee absolute security. Organisations and users are responsible for using strong credentials, keeping them confidential and promptly reporting suspected unauthorised access.
08Your choices and rights
Depending on applicable law, you may have rights to access, correct, delete, restrict or receive a copy of personal information, and to object to or withdraw consent for certain processing.
Where an organisation is the controller, requests about its records should normally be made to that organisation first. We will assist the organisation and respond to direct requests as required by applicable law. We may need to verify your identity before acting on a request.
09Children
Some EasyKount products are used by organisations that hold information about children — most directly EasySkul, which schools use to record student information. Those organisations are responsible for providing required notices, obtaining any legally required permissions, and ensuring their use of the Service has an appropriate lawful basis.
EasyKount does not knowingly use information about children for targeted advertising, and does not use it to build advertising profiles.
10International processing
The Service or our service providers may process information in countries other than the country where a user or organisation is located. Where required, we use appropriate contractual, technical or other safeguards for such transfers.
